Privacy policy

This explains what personal information we collect when you use our camp booking site and app, why we collect it, who sees it and what your choices are. We've tried to keep it plain.
Who we are
We are TPB Coaching Ltd, trading as The Peacock Brothers, 19 Elgar Avenue, Crowthorne, Berkshire RG45 6QP. We decide how your information is used, which makes us the “controller” under UK data protection law. Questions or requests: info@thepeacockbrothers.co.uk.
What we collect
- Your account: your name, email address, and how you sign in (an email link, or Google). If you add one, your profile photo and banner.
- About you: date of birth (we need it to know whether you're under 18), gender (used for room planning at camps), and, if you answer our sign-up questions, when you started riding, your home park and country, how you heard about us and your Instagram name.
- Bookings: which camp you book, who is riding, any guest's name and email, room requests, extras such as media packages, your answers to questions like park membership, and who made the booking.
- Payments: payments are taken by Stripe. We see the amount, the date, the status and Stripe's fees. We never see or store your card number.
- Health and safety: if we ask about injuries, medical conditions, allergies or dietary needs for a camp, and you tell us, we use that only to keep you safe and look after you at the camp.
- Your riding: the skills coaches verify, points, levels and badges you earn, and notes and feedback your coaches write about you.
- What you add: photos you upload to a camp album or a post, comments, and anything you choose to share with other riders.
- Location: only at the moment you check in at a wake park, and only if you allow your phone to share it. We use it to confirm you're at the park and don't keep a trail of where you go.
- Contact and preferences: your email choices, including whether you've agreed to camp news, and which camps you've registered interest in.
- Technical: basic information your device sends when you use the site, and cookies that keep you signed in (see Cookies below).
Why we use it, and our legal reason
- To run your booking and the camp (our contract with you): take payment, confirm your place, plan rooms and the timetable, coach you and send you what you need before and after the camp.
- To keep people safe and run our business properly (our legitimate interests): safety, preventing misuse, keeping accounts and records, fixing problems and improving the site.
- With your permission (consent): camp news and marketing emails, location when you check in, and showing your photo or profile to other riders. You can change your mind at any time.
- To follow the law (legal obligation): for example keeping financial records.
We only send marketing emails to adults who have said yes. Every one has an unsubscribe link, and you can also change this in your email settings.
Who sees your information
- The park. To run a camp we give the park a private link showing riders' names, guests and room requests, and the room plan. It doesn't include emails, payments or medical details. For under-18s it shows a first name and an initial only. The link can be switched off and stops working 14 days after the camp.
- Coaches on your camp can see their camp's riders, your progress and the notes they and other coaches write. A coach can also record skills for any adult rider.
- Other riders see what you choose to share: your name, photo and level if your profile is visible, and your activity if you are friends, or if you make your profile public. Camp leaderboards show names and points. Under-18s are hidden from leaderboards unless a parent turns that on, and take no part in friends, posting or groups.
- Our team: Ryan and Liam Peacock and the camp organisers we appoint see what they need to run camps.
- Companies that help us run the site (they only act on our instructions): Supabase (our database and file storage, hosted in London); Vercel (website hosting); Stripe (payments); Resend (sending email); and Google (sign in, and maps). We also use Anthropic's Claude to help write the personal paragraph in your after-camp email from your camp results and your coaches' notes. Your email address isn't sent for that, and we check every message before it goes.
We never sell your information. We don't share it for advertising.
Sending information abroad
Our camps are in other countries, so parks there receive the details above. Some of our service providers also process information outside the UK, for example in the United States. Where that happens we rely on the safeguards UK law accepts, such as the UK-US data bridge or standard contract terms, so your information stays protected.
Under-18s
Riders under 18 have an account linked to a parent or guardian, who books for them and can see and manage it. A child's photo isn't shown unless a parent allows it, and children appear on lists as a first name and initial at most. If you're a parent and want to see, correct or delete your child's information, email us.
How long we keep it
- Account and riding history: for as long as you have an account. You can delete your account yourself in Settings › Delete account: it's hidden at once and deleted 14 days later (sign in before then to keep it). Your photos are removed straight away. Accounts of children you added who have no sign-in of their own are deleted with yours.
- Bookings and payment records: up to 7 years after the camp, because we have to keep accounts. If you delete your account, these records keep your name and email.
- Health and medical details: deleted automatically 30 days after the camp ends.
- Camp photos and video: media footage is kept for 60 days after the camp. Photos you add to the camp album stay until you or we remove them, or the camp is deleted.
- Marketing: until you unsubscribe.
Your rights
You can ask us to:
- tell you what we hold about you and give you a copy;
- correct anything that is wrong;
- delete your information (we may have to keep some records, such as payments, for the time above);
- stop or limit how we use it, or object to a particular use;
- give you your information in a format you can take elsewhere;
- stop marketing emails and withdraw any permission you gave.
Email info@thepeacockbrothers.co.uk and we'll reply within a month. If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd like the chance to put it right first.
Cookies
We use only the cookies the site needs: to keep you signed in, and to remember choices like turning celebration animations off. We don't use advertising or tracking cookies. Stripe and Google set their own cookies when you pay or sign in with Google.
Changes to this policy
If we change this policy in a way that matters to you, we'll update the date at the top and tell you by email or on the site.
